What it helps with and what to check

Good tasks to start with

  • Google-centered office productivity
  • Drafting and summarising within existing team files

Keep an eye on

  • Workspace admins control availability and data settings
  • Check document permissions before asking cross-file questions

How to start

0 of 5 steps checked

1

Choose the document and the right Google account

Open a separate Google Doc containing one approved, non-sensitive excerpt. Keep the original file unchanged and label paragraphs P1, P2 and P3. Check the account avatar and the document sharing settings before asking Gemini about work material. Use the fictional excerpt in the linked worksheet for practice; this exercise does not need access to mail, meetings or a shared drive.

2

Open Ask Gemini in Google Docs

Look for Ask Gemini, usually at the top right. Google also documents a bottom bar in Docs and controls for switching between the bottom bar and side panel. If the entry is missing, verify the account, eligible plan, supported language and organisation settings. Do not buy a plan just to follow this exercise; you can use the same worksheet manually until access is confirmed.

3

Ask about the supplied excerpt only

Paste the document-summary prompt from the worksheet into Ask Gemini. Request three groups: main point, evidence with paragraph labels, and limitations or open questions. State: “Use only the labelled excerpt in this document. Do not add facts from mail or other files. Preserve unknowns and give a separate draft.” Check the response scope before using it; mentioning a file does not prove every statement came from that file.

4

Repair missing limitations before sharing

Read each source paragraph yourself. In the fictional example, the earlier checklist used a different group and cost was not measured. Remove any claim of proven improvement or savings. Ask Gemini to revise the draft with P1–P3 labels and an explicit unresolved list. If it keeps mixing in other material, narrow the excerpt or complete the brief manually from those paragraphs.

5

Check the draft in AhaDo and keep your working copy

Bring the draft back to the linked document-summary worksheet for its review checks. Keep working in Google Docs when you need another revision; no switch to ChatGPT or another tool is required. Copy the reviewed brief and source references before leaving AhaDo. Share only with the intended readers, and check your organisation’s retention and deletion rules rather than assuming all Google accounts use the same settings.
