Traditional approach
Group de-identified concerns by topic. Put the supporting product or policy information beside each one, then separate answers you can give from questions that need internal confirmation.
Use AI

Remove customer identities and list their concerns in their own words. In the guide, ask one assistant to group those concerns and draft responses using only the evidence you supply. Keep unsupported promises out of the reply and send unanswered questions to the responsible team.

What can go wrong
  • The reply promises 99% accuracy or half the review time. Say those outcomes are unmeasured; ask about one representative workflow before discussing a trial.
  • A guarantee becomes “virtually error-free” and survives the edit. Remove the unsupported claim, not just the number. Softer wording does not create evidence.
  • A possible trial becomes a commitment to deploy. Agree scope, review responsibility, success criteria and stop conditions first. An exploratory conversation approves none of these.
