Prepare consent and the meeting goal
Open the meeting-notes Task below. Write the meeting purpose and expected decisions, and confirm every participant knows about recording or transcription. Use a non-sensitive sample for the first trial.
Check workspace and recording settings
Open Otter.ai from the official site. Confirm the account, retention, sharing and recording settings shown in your workspace before starting. If consent or policy is unclear, use typed notes instead.
Capture a bounded meeting
Record or import only the meeting you are authorised to process. State the language and speaker names clearly when the product allows it. Keep the request scoped to summary, decisions and actions.
Review transcript and action claims
Play the recording around every decision, number, date and action owner. Correct names and speaker attribution, and mark unclear audio as unresolved. A readable transcript is not evidence that it is correct.
Turn checked notes into a review draft
After checking the transcript against the authorised recording, open the meeting-notes worksheet from this page. Paste only the corrected, permitted notes; the worksheet cannot listen to audio or check who spoke. No usable transcript? Use its fictional M1–M5 notes to practise, without claiming an Otter recording. Separate agreed decisions, actions with stated owners and dates, and open questions. Keep “Friday” as written until its calendar date is confirmed. Copy the draft before leaving, then check recipients and ask participants to confirm unresolved points through your usual approved channel. AhaDo does not send it. A tidy action list is not proof that anyone did the work.
